IBISResearch-IRB (IRB10) is now live as of Monday, August 29, 2022. To access the site, please visit ibis-research.miami.edu/IRB.

• UM Employees and Student Workers are automatically granted access to the Research Suite and can login via Single Sign On (SSO).
• If you are a Vendor, Student, or other Non-UM Employee and have not been given access to our systems previously, please register for a CaneID and then complete the Research Suite Account Access Request form.
•  The Research Suite Account Access Request form includes a ‘Submit to OVPRS Help Desk’ button that will automatically draft a new email addressed to OVPRShelpdesk@miami.edu with the completed form attached. Please make sure you hit Send.

• If Departments or Ancillary Committees need to submit updates to their reviewer list, please complete the Department and Ancillary Committee Reviewer form.
  
  
• Make sure to select which module these changes will apply to: IBISResearch – Grants and Agreements, IBISResearch – IRB, and/or UDisclose (COI).

All active and approved studies were migrated into IBISResearch-IRB (IRB10). Submissions in a pre-submission state were not included in the migration.

The data migration to IBISResearch-IRB (IRB10) does not include all study information from IRB8 (eProst). Please find details below.

Documents

The data migration only included the list of attachment categories below. If you are looking for a document that is not included in these categories (ex. Other, Questionnaires/Survey/Interview/Diary, etc.) you will need to access it in IRB8 (eProst). If updates need to be made to those documents, we recommend creating a Modification in IBISResearch-IRB (IRB10), uploading the original document from IRB8, and then updating the document in IBISResearch-IRB (IRB10). NOTE: The document categories below will not need to be pulled from IRB8 and can be updated directly from the Modification.

Guest List

The Guest List was not included in the data migration. If there are any users that were granted guest access to a submission in IRB8 (eProst) and need to maintain that access, then the Manage Guest List activity will need to be executed in IBISResearch-IRB (IRB10) to add that user. This activity is available to any individual listed as a study team member.

Study Team Members

The data migration only included study team members with active CaneID/Workday accounts. If a study is missing a study team member, it is because their CaneID/Workday account may have been disabled. These individuals can be added to a submission again via a Modification once their account is active/enabled.

Submissions in Pre-Submission or Review

Only active and approved studies were migrated into IBISResearch-IRB (IRB10). Any studies that were not fully approved/reviewed in IRB8 (eProst) prior to August 12^th, will need to be submitted again in IBISResearch-IRB (IRB10). These submissions are still available in IRB8 (eProst) and can be referenced as needed.

CITI

IBISResearch-IRB (IRB10) will continue to be integrated with CITI. If CITI training has been completed but the training data is not displaying in IBISResearch-IRB (IRB10), we recommend reviewing your CITI profile to ensure that:

• UM is listed as an affiliate
• The correct C# and format (ex. C1234567 – no spaces, hyphens, etc.) is listed in both C# fields
• A UM email address is listed
• There are no special characters in any of the profile fields

NEW IBISResearch-IRB (IRB10) Fields

IBISResearch-IRB (IRB10) will include new fields that will have blank data or placeholder values. These fields will need to be populated/corrected once the next modification is submitted.

• Drug Type question on the Drug page
• Conflict of Interest question on the Study Scope page
• Ancillary Committee questions on the Study Scope page that were not populated in IRB8 (eProst)

IRB8 (eProst) is archived and available to users as a read-only system. You will still be able to access study documents if needed. All new submissions will need to occur within IBISResearch IRB.

The IRB8 (eProst) system is now an archive read-only system. All users who already have an IRB8 (eProst) account will continue to have access to the system to view submission history, documents, etc. Users who need to obtain access to the IRB8 (eProst) system will need to complete the Research Suite Account Access Request form. If a user needs access to a submission in the IRB8 (eProst) system, please email OVPRShelpdesk@miami.edu.

The eProst Legacy system has been converted into a flat file (zip file). Users no longer have access to this system. If you need information or documents from this system, please contact Research Intelligence and Data Infrastructure (RIDI) at resinfo@med.miami.edu or 305-243-2314.
